Receipt posting and corrections ​

Goal ​

Understand how receipts post and how to correct them safely.

Who it is for ​

AR clerk (receipts.manage) and managers.

Preconditions ​

  • Bank/cash account; open period; optional open invoices for allocation.

Steps — post (on create) ​

  1. Create the receipt with counterparty, bank/cash, amount, and allocation lines.
  2. Save — BlueMatrix runs postReceipt: bank movement, AR allocations, and journal in one step. Status becomes posted. There is no separate Post button.

Steps — corrections ​

  1. Day-to-day: do not edit posted receipts. If allocation was wrong, follow your finance process (often reverse + new receipt, or manager/super-admin guidance).
  2. Super-admin snapshot edit (if available) changes stored metadata only — it does not re-post GL/settlement.
  3. Reversed receipts are terminal for editing.

Steps — refund credit left on account ​

  1. Open a posted customer receipt that still has cash on account and choose Refund credit (payments.manage).
  2. Enter the amount (up to the credit left), a bank or cash account in the receipt's currency, the date and optional notes, then Refund.
  3. BlueMatrix posts a payment to the customer at the receipt's exchange rate and lowers the receipt's credit left by the same amount. It works for archived customers too, because it only returns credit that already exists.
  4. Credit from a cheque can be refunded only once every cheque on the receipt is collected or settled by endorsement.

Result ​

Posted receipts settle customer balances for allocated amounts; corrections stay auditable.
