Customers overview
Goal
Understand what a customer is in BlueMatrix and how the customer hub fits sales, AR, and related work.
Who it is for
Sales / AR clerks and managers with party.view. Balances, AR cards and the statement on Statement & payments need party.balance.view; credit limit, cheque exposure limit and credit hold need sales.credit.view. Hub actions use party.update, party.delete, party.link, party.erase, or consent.manage as labeled below.
How customers fit the cycle
- Create a customer party (person or organization) from Customers → New customer.
- Optionally mark Also a supplier so the same party appears under Suppliers.
- Use the party on sales quotes / orders / invoices, receipts, CRM, POS, portals, and other entitled modules.
- Open the customer hub (row click) for identity, AR KPIs, roles, global identity link, consents, and tabs by job: Sales (quotes, orders, invoices, credit notes, POS sales), Statement & payments (statement, receipts, payments, cheques), Relationship (CRM), Service & contracts (subscriptions, service cases, returns, tickets, contracts), Projects & time and Files. A tab appears only when you can see at least one of its sections. Start the next document from the hub or the list preview: New invoice (the primary action), New receipt, New sales order and New quote open that form with this customer already chosen; an invoice also takes the customer's billing address and payment terms. Each appears only when you may create that document (
sales.manage, orreceipts.managefor a receipt) and its module or feature is on. An archived customer offers none, and the server still refuses a new invoice, order or quote for one. - Archive (soft) when the customer should leave active lists; do not hard-delete. GDPR erase is a separate privileged action. Archived means no new business, not erased: the customer can no longer get a new invoice, order, quote, subscription, contract or on-account POS sale, but you can still record a receipt that settles its existing open invoices (open the invoice and choose Record receipt). The receipt must be fully allocated to that customer's invoices; unapplied cash on account stays for active customers. Credit the customer already left on account can still be paid back: open that receipt and choose Refund credit. A late-payment fee is charged only on an overdue invoice posted before the archive or one that fills the customer's existing order, and a draft posts only when it fills an existing order or corrects a posted invoice.

Directory → Customers (party.view). Create: party.create. Edit details: party.update.
